Virtual Assistant (Remote)

Tenant & Leasing Calls, Administrative Support, Reporting

Location: Remote (work-from-home)

Employment Type: Independent contractor / virtual assistant, part-time or full-time hours

About the Role

Real Estate Alpha is looking for a General Virtual Assistant to be a dependable point of contact for our residents and prospective tenants, and to keep our day-to-day administrative work running smoothly. You'll be on the phone regularly, so clear, easy-to-understand, neutral English communication is essential — you'll often be the first voice a tenant or prospect hears. Alongside calls, you'll handle admin tasks, keep our Google Sheets accurate and up to date, and read through reports to flag what leadership needs to know.

You'll work closely with our existing VA/EA team, so reliability, strong follow-through, and the flexibility to move between different types of tasks throughout the day matter a lot in this role.

Key Responsibilities

  • Answer and place phone calls with tenants and residents — leasing questions, maintenance requests, general complaints — with clear, professional, easy-to-follow communication.
  • Handle inbound leasing/prospect inquiries: answer questions about availability and pricing, schedule showings, and follow up on leads.
  • Manage day-to-day administrative tasks: email correspondence, calendar management, data entry, document prep and filing.
  • Maintain and update Google Sheets accurately — rent rolls, task trackers, call logs, and similar working documents.
  • Read and interpret reports (occupancy, maintenance, financial, etc.) and summarize key takeaways or flag issues for leadership.
  • Adjust quickly between calls, admin work, and shifting priorities across multiple properties and tasks.
  • Coordinate with the broader VA/EA team on handoffs, coverage, and shared responsibilities.
  • 2+ years of experience in a virtual assistant, customer service, or property management admin role preferred.
  • Clear, neutral English accent and strong phone presence — comfortable being the first point of contact for U.S.-based tenants and prospects.
  • Strong Google Sheets skills (formulas, filters; pivot tables a plus).
  • Comfortable reading and interpreting reports and spreadsheets to spot trends or issues.
  • Highly adaptable and flexible — able to shift between call handling, admin work, and reporting throughout the day.
  • Excellent written and verbal English communication.
  • Reliable internet, a quiet space for calls, and availability during core U.S. business hours (Eastern Time).
  • Property management or real estate experience is a plus, but not required.
  • Fully remote, flexible role with a growing multifamily real estate operator.
  • Direct mentorship and visibility working alongside leadership and the operations team.
  • Room to grow into additional responsibilities as you prove reliable and capable.

Interested candidates should send a resume and their Loom video link to hr@vsfrentals.com, along with a brief note on relevant call-handling, admin, or property management experience.

Loom Video Questions

As part of your application, please record a short Loom video (5 minutes or less) answering the following:

  • A tenant calls saying their AC isn't working and wants to know when someone can fix it. Walk us through exactly what you'd say to them on that call.
  • Describe how you'd set up and maintain a Google Sheet to track something like maintenance requests or rent payments — what columns, formulas, or organization would you use?
  • Tell us about your setup — your time zone and weekly availability — and share an example of a time you had to quickly adjust when priorities changed.
