About the position

Starbucks is seeking a versatile, highly experienced Executive Assistant to join their Partner Resources Organization (HR) in Nashville, TN. This office-based role requires attendance four days per week and will provide executive-level administrative support to the SVP, Partner Resources, and VP, Labor & Partner Relations. The position is described as a trusted partner enabling one of Starbucks’ most complex and impactful organizations, requiring excellent judgment, high integrity, strong operational instincts, and a proactive and resilient mindset. Responsibilities

  • Support the SVP, Partner Resources, and VP, Labor & Partner Relations by representing the leader and their leadership team with a high level of discretion, interpersonal savvy and efficiency.
  • Exercise consistent sound judgment when managing confidential and sensitive information including executive email, leader and enterprise communications, materials, and conversations, understanding what information can be shared, when, how, and with whom.
  • Make reasonable thoughtful decisions aligned with business priorities and Starbucks values when complete information or the executive is unavailable.
  • Lead day-to-day support of complex calendaring, domestic and international travel, invoices, expenses, and other administrative functions.
  • Operate with a forward-thinking and solutions-oriented mindset and act with a high degree of integrity and accountability.
  • Collaborate closely with the Sr. Executive Assistant for Partner Resources to ensure smooth operation of the team and rhythm of Partner Resources Organization.
  • Partner with other assistants across Partner Resources and the enterprise to ensure seamless leadership support and enterprise alignment.
  • Understand and adapt to the rhythm of business to anticipate executive needs, prioritizing deliverables and cascading critical information appropriately.
  • Organize and schedule leadership meetings, quarterly reviews, offsites, and team forums (both in-person and virtual), including coordination of meeting spaces, sites, and audiovisual needs.
  • Manage executive domestic and international travel in compliance with existing policies and procedures, proactively addressing all aspects to ensure productivity, safety, and continuity.
  • Actively engage with the executive's direct report team to maintain alignment of priorities and ensure open, effective communication channels.
  • Be comfortable engaging with senior leaders, external partners, suppliers, and external and enterprise networks.
  • Serve as a leader and mentor within the administrative community, contributing to capability building and culture across the support team.

Requirements

  • Progressive administrative experience 7-9 yrs. Supporting senior or executive-level leaders
  • Providing support to executive-level management or equivalent 7-9 yrs. in operationally complex and fast-paced environments
  • Advanced and demonstrable proficiency in Microsoft Office Suite, including expert-level Outlook skills.
  • Broad knowledge and understanding of the business, including both function and company priorities with ability to think and operate at an enterprise level, understanding downstream impacts and balancing the needs of the leader with broader organizational priorities.
